HOW DOES BARCODING WORK?
We supply you with barcoded box labels for you to use on the boxes you send to our storage facilities. Before a box leaves your office, you know the identification number it will carry throughout its life in records storage. This eliminates any communication gap between our two companies. It is clear at all times which records are being discussed, and it's easy for you to verify the box count in our warehouse.
Every container in our warehouse is labeled with a bar code, which is scanned every time a box is moved. Its number is used to track that box throughout its storage life, monitoring its travels in and out of our record storage facility. Using the box's barcode number, we can instantly obtain information such as the container's location in our warehouse, the date it first entered our warehouse, how many times it has ever been accessed, who accessed the box and the date of destruction, if any.
IT'S ACCURATE
When we first receive your box, our computer processes information collected from the bar codes and potential errors are called to the attention of warehouse personnel immediately. Any errors are corrected and the proper information entered, using bar codes, of course, into the system.
The bar code system is both faster and far more accurate than hand entry of a number. Less room for mistakes. Consequently, our computer gives accurate, up to date information. When you call us, we can tell you how many and what type of containers you have in our facility or give you any information you need regarding a particular box.
FILE FOLDER TRACKING
The constant monitoring we apply to the record storage containers in our care can also be applied to file folders. You should want to take full advantage of this service by requesting a particular file rather than the whole box. Think of how much time and money this will save you. This eliminates any possibility of unneeded records being removed from the box, therefore being misplaced.
MONTHLY STATEMENTS
You will be supplied with automatically-generated monthly statements. Our statements not only list the month's charges, they also show all activity during the month. This gives you a simple, clear reference to compare with your own records. If there are questions after such a comparison, we can supply any additional information at the touch of a key.
